uTeammate Online Help - Importing Schedules

When it comes to setting up the schedule for each team, you can just have each coach add their own schedule items on their team's calendar - OR - As another option, you can import each team's schedule (or maybe just each team's games) using uTeammate's "Import Schedule" feature. There are two steps to using the "Import Schedule" feature:

Step 1: Create an import file.
Step 2: Import the file via the "Import Schedule" feature on the uTeammate Admin Panel.

Creating The Import File

uTeammate can handle importing comma-delimited (csv) or pipe-delimited (psv) files. The format of the file should be in the following format:

#*TEAM NAME|*PRACTICE OR GAME|*DATE|*TIME|*LENGTH|OPPONENT NAME|HOME OR AWAY|LOCATION|VPOS1|VPOS2|VPOS3|OFFICIALSNEEDED

Where:

TEAM NAME is the unique name of the team. (required)

PRACTICE OR GAME indicates whether the schedule item is a "PRACTICE" or a "GAME". (required)

DATE is the data of the schedule item. Should be specified in the format YYYY-MM-DD. For example: 2014-12-25. (required)

TIME is the time of the schedule item. Should be specified in the 24-hour format HH:MM. For example: 10:00 or 17:30. (required)

LENGTH is the length of time of the schedule item in minutes. For example, a 1 hour schedule item should be set to "60". (required)

OPPONENT NAME is the name of the opponent (if any). You can specify any text for the opponent name. If the team is also in your club, you should specify that team's unique team name here. For example: TEAM B. You may leave this field blank. (optional)

HOME OR AWAY is an indication of whether this schedule item is "HOME" or "AWAY". You may leave this field blank. (optional)

LOCATION is an indication of whether this schedule item will take place. If you created the location using uTeammate's "Add Location" feature on the uTeammate Admin Panel, you should use that location's unique name here, such as "FIELD A". You may leave this field blank. (optional)

VPOS1 is the name of the first volunteer slot associated with this schedule item (if any). For example: "Refreshements". This will create a signup slot associated with this schedule item called "Refreshements". You may leave this field blank. (optional).

VPOS2 is the name of the second volunteer slot associated with this schedule item (if any). For example: "Snacks". This will create a signup slot associated with this schedule item called "Snacks". You may leave this field blank. (optional).

VPOS3 is the name of the third volunteer slot associated with this schedule item (if any). For example: "Concession Stand". This will create a signup slot associated with this schedule item called "Concession Stand". You may leave this field blank. (optional).

OFFICIALSNEEDED is the number of officials, umpires or referees needed for this schedule item (if any). This field will be used later to allow referees, umpires and other officials to signup for this schedule item. Specify a 0 if not used. (optional).

When creating the file to import, you must specify the 5 required fields and each line must also contain delimiters to account for all 12 fields for each schedule item.

Each schedule item should be separated on separate lines in the file.

A couple notes:

Note 1: The maximum size of the import file is 200K bytes. If necessary, you may need to create multiple import files.

Note 2: Any lines in the file beginning with a # will be ignored.

Importing The File

After creating the import file as described in the previous section, you can login to the uTeammate Admin Panel to actually import the file using the "Import Schedule" option.

If necessary, you can adjust the delimiter and field indexes in the "Field Definitions" portion of the "Import Schedule" UI.

In the "Data File" section of the "Import Schedule" UI, select the import file created in the previous section.

Upon pressing "Import Data" the file will be imported and all of the schedule items will be added to the corresponding teams' schedule.
